1. General information on data protection and purpose of storage
At HRS (Hotel Reservation Service), we take the protection of your privacy and data security very seriously. We would like to explain to you what kind of data we collect, what we use it for, and how we protect it.
2. Connection information
When you use the HRS website, we collect the connection data that is transferred or generated as a result of Internet communication, such as your IP address, time stamp, operating system, browser, language settings, screen resolution, and other automatically transmitted system values. We use this data solely to prevent misuse and disruption, as well as to optimise our site.
3. Booking data
Additional information is collected from you when you make a booking. All of the master data that is collected and stored (title, first name, surname, company, department, address, post code, town, country, telephone, fax, email address) has been entered by you. Data gathered during the booking process is added to this data and is transferred, where necessary, to the hotel or hotels that you have selected. All transaction data is stored.
4. Information on data protection
All data you provide to HRS is encrypted and transferred. Up to 256-bit encryption is used, provided your browser supports high-level encryption. SSL is a reliable and globally used encryption system, which helps your browser to automatically encrypt your data before sending it to us.
5. Cookies
In order to optimise the surfing experience, information from the current session is cached in a session cookie. The session cookie is automatically deleted when the browser is closed. We also use persistent cookies provided by etracker GmbH software. The software writes a cookie on your system with a unique random ID. The ID can be read on subsequent visits to the website so that usage data from previous visits can be associated with the current visit. 6. Questions
You may ask to see your stored personal data at any time. You also have the right to correct, delete or block (incorrect) data. However, contractual and/or legal regulations, particularly those relating to accounting and payment, may prevent certain data from being deleted. Contractual basis for group and conference reservations
Terms and conditions
1. Scope
These terms and conditions apply to the reservation and sale of group and conference bookings (especially to reservations of more than nine rooms). HRS's terms and conditions for reservations apply exclusively to bookings of up to nine rooms.
2. Booking
a) Each group and conference reservation will be passed on to the relevant service provider (especially hotels and event locations, subsequently referred to as 'Service Provider') via HRS in its function as an intermediary using the online tool.
b) This intermediary service is provided by HRS at no additional cost to the Booking Party, unless otherwise agreed by the parties. The resale of rooms, event locations etc. booked through HRS is prohibited. In particular, the reselling of room allocations to third parties at higher rates than the HRS rates is not permitted. HRS reserves the right to block customer access in the event of a violation.
3. Contract and payment
a) The contract is concluded directly between you and your chosen Service Provider. In particular, the payment method and any payment/cancellation terms are agreed between you and the Service Provider. Therefore, all claims and obligations arising from the contract exist directly and exclusively between the Booking Party and the selected Service Provider.
When making your group/conference reservation enquiry, you have the option to enter payment and cancellation terms as well as conditions of purchase in the online tool, on the basis of which the Service Provider may provide a quote. If you do not provide any payment and cancellation terms and/or conditions of purchase, the Service Provider has the option to include his own payment and cancellation terms when providing a quote. Otherwise, general statutory regulations apply for the conclusion of the contract.
b) The contract is only concluded when the Booking Party accepts a quote issued by the Service Provider via one of the available booking channels. The contract is thus legally concluded online between you and the Service Provider after you have accepted the quote. You can view the agreed contract directly at any time in the online tool.
4. Type of booking
In the case of groups and conferences, bookings can only be made if they are subject to a special cancellation policy. In the event of a late cancellation or a no-show, the Service Provider may charge for the accommodation and/or conference costs in accordance with the contractually agreed payment and cancellation terms.
5. Changes and cancellations
All changes and cancellations must be made via the online tool directly. Changes and cancellations made in the online tool directly are considered to have been received immediately.
Cancellations that are not made using the communication channels described above are considered to be invalid. Otherwise, the regulations agreed upon by the parties apply.
6. Hotel categories and hotel information
The standard international star-based hotel classification system gives a non-binding indication of the standard of the hotel. The hotel classification system used here is based on a self-assessment of the hotels which is also checked by HRS, if required, in accordance with its in-house assessment system and on the basis of the collective experience of HRS and its customers. All other hotel information and descriptions are based on information provided by the hotels themselves or the relevant Service Provider.
7. Room and conference rates
The rates for groups and conferences are negotiated individually with the Service Provider. The rates for rooms, conference rooms etc. that are found online are only valid for individual travellers and single bookings.
All hotel room rates are per room and per night, including or excluding breakfast, and this may also differ for weekend rates. In Germany, the rate includes service charges and statutory VAT. In some countries, VAT, additional taxes and/or service surcharges are added to the room rate, depending on national/regional regulations. The amount of this tax is subject to constant changes and can therefore only be estimated. Otherwise, the rate agreed between the Service Provider and the Booking Party applies.
8. Data protection
The data entered by the customer is processed electronically by HRS. Only data required to make a booking will be passed on. Data is not passed on for any other purpose. Otherwise, data collection must comply with statutory data protection regulations.
If HRS has been provided with your email address as part of the booking process, HRS will use this under the conditions of Section 7 (3) of the German Act Against Unfair Competition (UWG) for the purposes of electronically promoting its own similar services if these correspond to your interests. You can opt out of receiving electronic promotional material at any time simply by emailing widerspruch@hrs.com.
In addition, HRS reserves the right to create usage profiles using pseudonyms in accordance with Section 15 (3) of the German Telemedia Act (TMG) for the purposes of promotion, market research, and designing HRS websites in line with demand. You can opt out of the creation of these usage profiles at any time simply by emailing widerspruch@hrs.com. More details can be found in the HRS data privacy statement.
9. Miscellaneous
All information has been prepared very carefully. However, we do not accept any liability for any errors in data collection or data transmission. The transfer of data to other storage media (either in whole or in part), or its use for purposes other than those specified here, is only permitted with the express approval of HOTEL RESERVATION SERVICE Robert Ragge GmbH, Cologne, Germany.
German law applies. The place of performance is Cologne. For business persons or individuals who have no place of jurisdiction in Germany, the agreed place of jurisdiction is Cologne. Otherwise the legal place of jurisdiction applies.
The use of HRS websites and HRS content is only permitted for individual booking queries. Automated queries are not permitted. We would also like to point out that our data is protected by copyright and therefore any reproduction, in particular via automated reading ('scraping'), is prohibited. In particular, the use of our data (especially query results) for the purposes of referrals is prohibited.
